Overview

Risk management is an essential part of planning and delivering educational visits. It involves balancing the educational benefits of a visit with the risks involved.

Risk can never be completely removed, but it should be reduced to the lowest level that is reasonably practicable while still allowing participants to gain meaningful learning and enrichment from the experience. If the visit is to proceed, the remaining (residual) risk should be tolerable to your SLT and employer.

Effective risk management combines careful planning, awareness of changing conditions and the experience of competent leaders.

The Risk Management Process

Risk management during visits has two closely connected elements.

Written risk assessments record the outcomes of this process, but they are only useful if the leadership team understands and actively uses them during the visit.

Practical Ways to Manage Risk

Visit Leaders can manage risk through several practical strategies:

Leaders should continue to monitor risks and benefits throughout the visit and adjust plans if circumstances change.

Roles and Responsibilities

Educational visits should always be planned and led within the competence and experience of the visit leadership team. Clear procedures, appropriate training and support from SLT help ensure that risks are managed effectively.

Information about risks and control measures should be shared with the staff team and, where appropriate, with participants and parents.

Review and Improvement

After the visit, leaders should review how effectively risks were managed and identify any lessons learned. This should be recorded on EVOLVE in the evaluation section.

This reflection and evaluation helps improve future planning and supports the continued development of safe and high-quality educational visits.
